Job Title: Technical Administrative Assistant (Remote)
Location: Remote (U.S. Based)
Reports To: Waymaker Executive Leadership Team


Job Summary

We are seeking a full-time, highly organized and detail-oriented Technical Administrative Assistant to provide remote support to our executive team. The ideal candidate is a self-starter with strong administrative experience, excellent communication skills, and advanced proficiency in Microsoft Excel. This role requires a tech-savvy individual who thrives in a fast-paced environment and can juggle multiple priorities while maintaining exceptional accuracy.


Occasional Travel if desired to home office in Minneapolis, MN.


Key Responsibilities

  • Provide day-to-day administrative support to executive leadership, including calendar management, meeting scheduling, travel coordination, and inbox triage.
  • Prepare, format, and analyze data in Excel for reports, trackers, and dashboards.
  • Assist with the creation and editing of presentations, documents, and spreadsheets with a high level of accuracy.
  • Track deadlines, action items, and project deliverables across multiple initiatives.
  • Handle confidential information with discretion and professionalism.
  • Maintain shared documents and drive organization through consistent digital file management.
  • Help troubleshoot technical issues in documents, software tools, or data formatting.
  • Support other business operations or ad-hoc tasks as needed.

Qualifications

  • 3+ years of experience in an administrative or executive assistant role.
  • Advanced Excel skills (e.g., formulas, pivot tables, data validation, conditional formatting, VLOOKUP/XLOOKUP).
  • Proficiency with Microsoft Office, Google Workspace, and cloud collaboration tools (e.g., Slack, Zoom, Dropbox).
  • Exceptional attention to detail and organizational skills.
  • Strong written and verbal communication skills.
  • Self-motivated, proactive, and comfortable working independently in a remote environment.
  • Experience handling sensitive information with discretion.

Preferred Qualifications

  • Experience supporting remote executives or teams.
  • Familiarity with project management/CRM/ERP tools (e.g., Salesforce, Odoo, Monday).
  • Basic data analysis or visualization skills a plus.
  • Background in energy, manufacturing, federal government contracts
  • Associate’s or Bachelor’s degree
