Job Title: Executive Business Administrator – Legal Department
Location: 100% remote PST or MST Time Zones (Preference for PST)
Duration: 18-Month Contract expected
Rate: $25-$28/ hour
The Executive Business Administrator will provide high-level administrative and operational support to three senior leaders within the Legal Department. This role is critical to ensuring the smooth execution of daily business functions, including complex calendar management, meeting coordination, travel logistics, and confidential communications. The ideal candidate will be proactive, detail-oriented, and experienced in supporting multiple executives in a fast-paced, high-tech environment.

Key Responsibilities
Executive Support & Calendar Management
- Manage complex and dynamic calendars for three legal leaders, including scheduling across multiple time zones.
- Coordinate and facilitate internal and external meetings, including preparing agendas and materials.
Meeting & Event Coordination
- Lead and manage meetings, including preparing PowerPoint decks and managing Microsoft Teams breakout sessions.
- Organize networking sessions and internal events, ensuring seamless execution.
Operational & Administrative Support
- Handle onboarding logistics such as equipment provisioning, alias and security group setup, and org chart updates.
- Maintain and manage Rhythm of Business (ROB) schedules and tracking systems.
- Assist with purchase orders (POs) and coordinate with outside counsel for matter setup.
Travel & Confidentiality
- Arrange domestic and international travel for senior leaders, including itineraries and accommodations.
- Maintain strict confidentiality when handling sensitive legal and business information.
Required Qualifications
5–7 years of experience in:
- Office management and calendar coordination
- Project management
- Administrative support (including scheduling, SharePoint, and PowerPoint)
- Prior experience supporting multiple senior leaders
- Strong communication and organizational skills
- Demonstrated ability to work independently and proactively
- Proficiency with Microsoft Office Suite, SharePoint, and Microsoft Teams
- Located in PST or MST time zones (PST preferred)
- Availability for the full 18-month contract
- Prior experience at enterprise technology company in Redmond, WA required.
Preferred Qualifications
- Bachelor’s degree or equivalent experience
- Experience with budgeting and purchase order processes
- Event planning and logistics coordination
- Familiarity with legal department operations
- Demonstrated ability to manage ROB (Rhythm of Business) processes
