As an Executive Administrative Assistant, you will play a critical role in supporting the CEO and other senior leaders by ensuring seamless operations across their calendars, communications, and priorities. This fully remote position requires someone highly organized, detail-oriented, and proactive, capable of anticipating executive needs and managing multiple stakeholders. You'll handle scheduling, travel coordination, expense reporting, and executive communications, while also supporting key initiatives and high-level projects. This is a dynamic and fast-paced environment where strategic thinking, discretion, and emotional intelligence are key to success.

Accountabilities:

  • Provide executive-level support to the CEO, including scheduling, meeting prep, and travel arrangements
  • Manage complex calendars with competing priorities across internal and external stakeholders
  • Coordinate logistics for board meetings and maintain accurate stakeholder information in Salesforce
  • Draft documents, slides, and emails on behalf of the CEO and other senior leaders
  • Support additional executives, including the President and Chief Academic Officer, as needed
  • Track key initiatives and ensure the CEOโ€™s priorities and deadlines are met
  • Contribute to organizational efficiency through proactive planning and administrative process improvements


Requirements
  • 4+ years of experience as an executive assistant or similar role, or a recent graduate from a top 25 university with a strong academic record
  • Proven ability to manage executive calendars, resolve administrative challenges, and prioritize tasks independently
  • Exceptional written and verbal communication skills, with a strong sense of judgment and confidentiality
  • Familiarity with Google Workspace tools (especially Calendar), and experience with Salesforce is a plus
  • Ability to summarize complex information and maintain a forward-thinking mindset
  • High emotional intelligence, professionalism, and adaptability in a remote work setting
