The Opportunity:
The Early Childhood Education and Assistance Program (ECEAP) Administrative Assistant supports this mission and vision by providing administrative support to DCYF’s ECEAP team as they develop an integrated system of support for children and families that ensures 80 percent of five-year-old's arrive in kindergarten ready to learn, and that race and income are eliminated as predictors of their success. This position is responsible for providing administrative support to the ECEAP Senior Administrator and the ECEAP team to help ensure efficiency and optimal performance. Tasks include coordination of administrative processes that ensure smooth functioning and timely responses to assignments and partners
Some of what you'll do:
- Organize and maintain the ECEAP Senior Administrator’s calendar, including scheduling meetings and resolving scheduling conflicts.
- Coordinate and manage travel arrangements for the team, ensuring registration, lodging, airfare, group transportation and parking is arranged in alignment with division procedure and agency policy.
- Organize agenda, meeting reminders, and meeting minutes for the ECEAP Directors’ Meeting and other key meetings for ECEAP committees and workgroups.
- Provide administrative support for ECEAP trainings (meetings or webinars) and meetings.
- Maintain, modify, and edit ECEAP materials for the purpose of providing ECEAP information.
- Create purchase request forms for ECEAP purchasing needs, submit to appropriate appointing authority, and track progress and receipt of purchases.
- Attend regular convening of division administrative support team, provide support and collaboration.
What we are looking for (Required Qualifications):
- A total of three (3) years of education and experience in administrative support, secretarial or office management role for a mid-level manager, administrator, or executive in a company or environment that requires strong organizational and time management skills in a fast-paced, detail and deadline-driven environment.

In addition to those required qualifications, our ideal applicant will also have some or all of the following:
- Bachelor’s degree
- Knowledge of ECEAP or Head Start program standards/requirements.
- Knowledge of government administrative procedures, including contracting.
- Understanding of, and a commitment to, participating in DCYF and ECEAP’s efforts towards diversity and inclusion.
- Prior experience demonstrating initiative, flexibility, dependability, attention to detail, and commitment to ongoing learning.
- Prior experience and ability participating in a cohesive and collaborative team environment.
- Prior experience independently organizing, prioritizing, and completing multiple projects with accuracy, efficiency, and within time limits.
- Prior demonstrated computer proficiency, including Outlook, Word, Excel, and database applications.
- Prior experience using online office tools such as Meeting Wizard, Survey Monkey, and others.
